Privacy Policy

1. Who we are

This policy explains how So Be It Un Limited collects, uses and protects your personal information, and your rights over it.

We are So Be It Un Limited, a company registered in England and Wales (company number 16831601). Our registered office is Suite G04, 1 Quality Court, Chancery Lane, London WC2A 1HR. Our coaching services are delivered by Dr. Amen Kaur.

We are the data controller for the personal information described in this policy. We are registered with the Information Commissioner’s Office (ICO), registration number ZC278710.

We follow the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

Contact us about anything in this policy at [email protected], or write to the address above.

2. What information we collect

We only collect what we need to provide our services, keep in touch with you, and meet our legal obligations.

Information you give us:

  • your name, email address and, if you share them, your phone number, address and date of birth
  • what you tell us when you book, apply, buy, fill in a form or send us a question
  • your answers to our free assessment, and the result it gives you
  • what you share in coaching sessions and programs, including notes, workbooks and anything you send between sessions
  • your feedback, reviews and, with separate permission, testimonials

Health information: coaching can involve your emotional wellbeing, and some practices we use (such as EFT, breathwork and hypnosis-based techniques) mean we may ask about your health so we can work with you safely. Health information is a special category of personal data, and we only collect it with your explicit consent (see section 3).

Information collected when you use our website and emails:

  • technical information, such as your IP address, browser type and the pages you visit
  • whether you open our emails and click on links
  • cookies, as explained in section 11

Payment information: payments are handled by our payment providers. We never see or store your full card details.

3. Why we use your information, and our lawful bases

The law requires us to have a lawful basis for each way we use your information. Ours are:

  • To provide what you’ve bought or asked for (contract): delivering sessions and programs, giving you access to materials, taking payments and sending messages about your purchase.
  • To run our business well (legitimate interests): answering enquiries, keeping records, improving our website and services, and protecting against fraud. We only rely on this where it doesn’t override your rights.
  • To send you marketing emails (consent, or for existing clients, the similar-services rule in PECR). You can unsubscribe at any time.
  • To use non-essential cookies, such as analytics (consent).
  • To meet our legal obligations (legal obligation): for example keeping financial records for tax, or responding to a lawful request from the authorities.

Health information. Because health information is special category data, we also need your explicit consent to use it. We’ll ask for this before we collect it, usually at the start of working together. You can withdraw your consent at any time, but this may mean we can’t safely continue some practices with you.

We may also need to share information without consent in rare situations where someone is at risk of serious harm, where there is a safeguarding concern, or where the law requires it, as explained in our Terms and Conditions.

4. The free assessment and our emails

The free assessment. While you take the assessment, your answers are held in your own browser. When you finish and give us your name and email, with your agreement, we save your contact details and a label for your result (for example, which of the five patterns is most active for you), so we can send your result and follow-up emails relevant to it. The assessment is a reflection tool, not a diagnosis.

Our email series and weekly emails. If you sign up for “Ten days beyond”, take the assessment or join our list another way, we’ll send you the emails you signed up for and then our regular emails, which include our podcast, ideas and, from time to time, invitations to our programs and services.

Unsubscribing. Every email has an unsubscribe link. You can also email [email protected]. Once you unsubscribe, we’ll stop sending marketing emails, though we may still send messages about anything you’ve bought.

Email tracking. Our email platform tells us whether emails are opened and links clicked. We use this to improve our emails, not to profile you individually.

5. Who we share your information with

We never sell your information. We share it only with providers who help us run our business, and only what they need. They process it on our instructions and under contracts that protect it.

Our main providers:

  • Kajabi hosts our website, courses, forms and emails, and runs our checkout
  • Stripe processes card payments
  • Zoom runs our video sessions, recordings and, where used, meeting summaries
  • Google stores files through Google Drive and, only if you agree to cookies, measures website use through Google Analytics
  • Captivate hosts our podcast and measures listening

Other types of providers we may use: scheduling tools, email and file storage, website analytics, AI tools that help with notes, transcripts and summaries, accountants, legal advisers and IT support. When we start using a new type of provider, we’ll update this policy.

We may also share information if the law requires it, to protect our legal rights, or if our business is sold or transferred, in which case your information would stay protected under this policy.

6. AI tools

We may use AI tools to help with administrative tasks, such as summarizing session notes or transcripts. When we do:

  • we only use business versions of tools that don’t use your information to train their models
  • the provider is bound by a data processing agreement
  • a person, not an AI, makes any decisions about your coaching

If you’d prefer we don’t use AI tools with your session information, tell us and we’ll respect that.

7. Transfers outside the UK

Some of our providers, including Kajabi, Stripe, Zoom, Google and Captivate, are based in or store data in the United States. When your information is transferred outside the UK, we make sure it’s protected, for example through the UK-US data bridge for certified companies, or through the UK’s approved international data transfer agreements.

8. Recordings and testimonials

Recordings. We’ll always tell you before a session is recorded. One-to-one recordings are for you and for our records. Group call recordings are shared only with members of that program.

Testimonials. We only publish your words, name or image with your separate written permission. You can withdraw that permission at any time, and we’ll remove them from anything we control going forward.

9. How long we keep your information

We keep information only as long as we need it:

  • Clients: up to 7 years after our last session or purchase, to meet tax and legal requirements and to handle any questions or claims
  • Enquiries and email subscribers who aren’t clients: up to 2 years after your last contact with us, or until you unsubscribe, whichever comes first
  • Session recordings: until your session or program ends, plus 90 days, so you can watch them again while you’re working with us

We review what we hold regularly, and delete or anonymize what we no longer need.

10. Keeping your information secure

We use reputable providers with strong security, protect our accounts with strong passwords and two-step sign-in, and limit access to your information to those who need it. No system is completely secure, but if a breach happens that puts your rights at risk, we’ll tell you and the ICO as the law requires.

11. Cookies

Cookies are small files stored on your device. Some are essential for our website and checkout to work, and these are always on. Others, such as analytics cookies that show us how the website is used, only run if you agree to them through the cookie banner. You can change your choice at any time, and you can also manage cookies in your browser settings.

12. Under-18s

Our services are for adults aged 18 and over. We don’t knowingly collect information from anyone under 18. If you think we have, please contact us and we’ll delete it.

13. Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that’s wrong or incomplete
  • ask us to delete your information
  • ask us to limit how we use it
  • object to how we use it, including for marketing
  • ask for your information in a format you can take elsewhere
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, email [email protected]. We may ask you to confirm your identity. We’ll reply within one month, or tell you if we need longer for a complex request.

14. Complaints

If you’re unhappy with how we’ve handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

15. Changes to this policy

We may update this policy from time to time. The latest version will always be on our website. If we make a significant change, we’ll let you know and, where needed, ask for your consent again.
